Challenge

As Pulling Paint continued to grow, the team needed stronger systems to manage a high volume of mural, signage, installation, and production projects. Project information was spread across spreadsheets, emails, estimates, and individual workflows, making it harder to track deadlines, prioritize work, manage staffing, and maintain consistent estimating and reporting.

  • Improve visibility across active, completed, and lost projects. 
  • Standardize estimating, project tracking, and production workflows. 
  • Build scalable tools for pricing, staffing, scheduling, and reporting. 
  • Reduce manual follow-up through clearer dashboards and automation. 
  • Create process documentation the team could continue using as the business grows.

  • Built and refined project trackers, dashboards, and reporting tools in Google Sheets. 
  • Created pricing calculators for murals, signage, travel, lift equipment, paint, stencils, rush projects, and optional services. 
  • Developed operational tools including a client fit calculator, complexity checklist, artist skill matrix, staffing resources tracker, and client onboarding one-pager. 
  • Used AI to build the base of formulas, scripts, and calculator logic, then applied human review, business context, and operational judgment to refine the tools. 
  • Automated recurring reports and project updates using Google Apps Script. 
  • Created SOPs, playbooks, release notes, and process documentation to support internal adoption. 
  • Conducted market research, permitting research, and operational analysis to support better project planning and decision-making.
